Frequently Asked Questions and Problems

Solutions to Common Registration Problems:

  • Make sure you are entering information in the format requested. For example, no dash in the phone number, www in the website address. Do not enter an e-mail address in place of a website address.

  • Do not use quotation marks, apostrophe's, dashes, underlines or slashes / \ anywhere except website address or comments section. Using these characters in Program Titles, Program Descriptions, Organization Names or addresses causes conflict with the registration form coding. If you must use these special characters, please include a copy of the text with these characters in the 'Comments' section at the bottom of the form.

  • Make sure you are using a current web browser and you have not disabled javascript.

  • After entering your information in the form, click the Enter button. This will take you to a page to review your registration information. If the information looks good, be sure to click the Submit Registration button on the review page to complete your registration.

  • If you suspect a server firewall, or virus protection software may be inadvertantly interfering with the processing of the Registration form, try submitting the registration from a different computer environment.

  • Use the 'Comments' section of the form to provide additional information that would be helpful to program visitors, such as directions to an unusual location.

  • If you have an atypical website address such as www.sitename.org/sections/page, or long e-mail address such as name@city.state.gov, enter it in the Comments section and use www.website.org or email@website.org for the form fields.

  • In a very few instances, the form may persist in presenting a 'information missing' error message when there is no error. The only option is to completely quit your web browser and restart the registration process.

 

Common Questions:

  • Why use an online registration process?:
    • The event is coordinated and organized by volunteers. The online registration form ensures all registration information is submitted at one time, and consistently. We do not have to spend valuable volunteer time doing data entry or following up with organizations for missing information.
    • The form is designed to obtain both unpublished organization contact information, and program information used for promotional purposes.
    • Registrations submitted via the online form put the information into a digital format. This allows us to effeciently manage the data in our contact database and on the website.

  • Can I submit my program registrations by printing and mailing the registration form or sending the information in an e-mail or text file? No. Online registrations are automatically processed into a database for effeciency. We do not have the volunteer personnel to manually enter registrations for organizations. Registrations not received via the online registration form will not be considered for this year's event.

  • How long does it typically take to complete the Registration form?: Barring any submission errors, the form is designed to take about 5-10 minutes per program to enter all the registration information. This presumes you already have all the required information gathered for entry.
  • Do I need to re-register my program even if I am doing exactly the same program I did last year? Yes. The GOW is intended to be a 'sampler' event. To keep the event fresh for the public, we encourage organizations to develop a new program each year, or at least give a new twist/title to their old program.

  • Why do I have to enter the same organization information multiple times? The form is designed to accommodate registrations from a wide variety of organizations and situations. It gathers both private contact information, and public promotional information. This may be redundent for a few organizations, but is usually different for most registrants.

  • Why isn't there a checkbox for using the same information if the organization contact info and host site info are the same? Why can't the form 'remember' data I've already entered for other registrations at the same site or for the same organization? In most instances they are different. In most instances the information is close but not exact -- a different phone number for instance. We require all data be entered as a way to help ensure organizations are more accurate with their entries. While this may require a little more time on the part of the registrar, it minimizes data entry errors and requests for extensive corrections after we are in production of the event promotional materials.

  • Why can't the form 'remember' data I've already entered for other registrations at the same site or for the same organization?   • Do I need to register each program even if I am hosting multiple programs at the same site? Yes. We recognize this requires some seemingly redundant data entry on the part of the registrar, but we do not have the volunteer personnel to do this data entry.

  • Can I partially submit a program registration now and get you the additional information, such as site or time, at a later time? No. We are a volunteer operation and do not have the resources to follow up for missing information. Incomplete Program Registrations received will not be considered for this year's event.

  • Why is there a size limitation on the program description? This is to encourage organizations to develop a short concise paragraph of information about their program that is most likely to be read and to reduce redundency of information.

  • Why don't I see the program I just registered showing up in the Registered Programs listing? It typically takes 1-2 days for new registrations to appear in the programs listing.
